Job Summary
The Foundation's Event Coordinator will be responsible for partnering with staff to coordinate projects, activities and special events to help meet fundraising and stewardship objectives of the Foundation. The position has primary responsibility for the following job functions: recommending and coordinating in-person group activities and events for donor recognition and engagement, planning and implementation of fundraising events and meetings, and coordinating any necessary promotional and marketing needs associated with events. Administrative duties include invite list pulls and mailings, event-related activity and data entry into Raisers Edge, tracking event participation, vendors, project budgets, success reporting and assisting with other special administrative projects as they arise

Essential Tasks and Responsibilities
EVENTS: Community, Prospect & Donor Events, Fundraising and Donor Recognition. Partners with Foundation and Volunteer Services staff to develop, execute, promote and track prospective donor events, tours, recognition events and stewardship opportunities - including follow-up programs. Actively seeks event opportunities in the community to promote the Foundation and the work done to improve health. Develops and maintains event plans and budgets for all community, donor and prospecting events. Uses Raisers Edge to enter activities, pull lists and document events from the Foundation's perspective. Builds online events, registrations and giving forms through Raiser's Edge, when necessary. Manages event committees, including recruitment. Communicates and successfully supervises the committee on all details to ensure successful event outcomes. Coordinates annual fundraising events and committee meetings. Responsible for successful outcomes of committee meetings. Plans, coordinates, executes committee meetings with committee chairs. Works with committee chairs to develop meeting agendas and support materials, and organizes program activities to ensure each meeting is productive, well-organized and meeting goals are accomplished. Works diligently developing relationships with volunteers, sponsors and vendors to sustain support of our fundraising event efforts. Develops engagement and stewardship plans for these partners and donors. Works with Donor Relations Officer and PR to coordinate communication plans and promotional event needs. Includes signage, advertising, internal NGHS communications, online and publication needs. Maintains event budgets and fundraising reports. Maintains event records and updates reports in Raisers edge. Reviews sponsor levels and participation tp develop partnership growth plans. Evaluates fundraising events annually: ROI, goals, sponsorship levels - creates event acquisition and solicitation plans annually.
Foundation Team. Assists with donor stewardship and volunteer appreciation including acknowledgment of hospital stays, honor and memorial gifts, and special occasions including birthdays and anniversaries, etc. Assists with donor and prospect tracking in Raisers Edge, recording activities not assigned to a gift officer. Works to improve moves management with a specific focus on event sponsorship. Works with Development team to move corporate partners through moves management process. Participates in brainstorming sessions on special projects or planning initiatives including creative work sessions; participates in annual planning.
Special Projects. Coordinates specialty items and gifts for the Foundation, including coordinating annual holiday gifts and delivery schedules. Enters any non-assigned activity into Raisers Edge. Assists Office Coordinator, Database Specialist, Donor Relations Officer and Executive Assistant on special projects and needs. Including Raisers Edge entry, reporting and website updates. Coordinates and manages assigned special projects as determined by Director and President & CDO of Foundation; completes other duties as assigned. Serves as back-up for office coordinator when necessary. Plans and coordinates any special committees or focus groups, including meeting coordination, documentation, tracking in Raiser's Edge and other required tasks. Generates ideas for event and data process improvement for the Foundation. Assists with 990 data collection and reporting for annual fundraising events. Maintains adequate records on projects and reviews regularly with Director and works to establish effective tracking mechanisms, streamlined process and workflow.
