Coordinates activities for Medical Staff Divisions and Committees (ie: room reservations, coordinating invites to meetings, preparing materials for meetings, preparing minutes as assigned, taking minutes when applicable, etc.). Maintains verifications and enters into the database information of expirables and vaccination information, etc for the Medical Staff, Advanced Practice Practitioners, Students and Contract Services. Works with applicants and the GCVO to facilitate processing of initial and reappointment packets.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
File maintenance of current expirables for all members of the Medical Staff, Advanced Practice Practitioners, Students, and Contract Services as applicable.
Work with educational institutions and process students to complete clinical rotations at either/both facilities as appropriate and update records each clinical rotation.
Collect appropriate vaccination records annually for all that are on staff (including contract and students) and weekly reporting of compliance as required.
Secure room reservations for Medical Staff Committees and Division meetings for all meetings to include meal requests as appropriate and send calendar invites to members as appropriate.
Create and maintain attendance rosters for Medical Staff, Division, Committee meetings, and other meetings as required.
Collects and track annual Medical Staff dues and maintain log of payments.
Prepare orientation packets for monthly New Provider Orientation.
Process application requests as outlined with Departmental Policies and Procedures.
Work with the GCVO to complete packets. Print and audit GCVO packets prior to routing to the appropriate Medical Staff leadership for review and approvals. Obtaining LT/Temporary privileges as appropriate.
Completing IS Forms/Requests.
Retrieve and analyze reports from ECHO and applicable entities.
Send announcements to include new providers and deletions as appropriate.
Prepare and distribute Appointment and Reappointment letters monthly.
Scan completed files into E-File System.
Ability to advise hospital staff and Medical Staff members of the Medical Staff Bylaws/Rules and Regulations as appropriate.
Maintain, update, and distribute comprehensive Medical Staff Directories.
Answer Department calls and route appropriately.
Maintains highly confidential data in a secure and trustworthy manner.
Other duties as assigned.
