General Description of the Job Class Provide effective management over assigned hospital service lines to include responsibility and accountability for quality of care and financial performance for each service line; recommend and implement corrective action as necessary.
Duties and Responsibilities of this Level Program Development
Lead development and implementation of strategic agendas and business plans, aligned with overarching DCI initiatives, which allow for the provision of oncology services across multidisciplinary and geographically disperse organizational entities.
Collaborate with key leadership stakeholders for all strategic planning and program growth efforts, including associated Departmental and Divisional leadership, other hospital and regional entity leadership (where applicable), Access, Nursing and PRMO leadership
Maintain knowledge of key markets, physician referral patterns, and innovative practice changes in order to develop strategies for clinical program growth.
Partner with marketing and communications to develop marketing materials for patients and referring providers, ensure website content is kept up-to-date, identify opportunities for promotional content and events, and develop strategies to increase physician outreach and engagement.
Oversee management of DCI program and provider-related clinical operations including advising and assisting physician leads for this program for meeting operational and clinical goals.
Plan and implement changes, in partnership with DCI Director of Operations, key clinical operational leadership and Departmental stakeholders, to achieve goals for the program and clinic.
Ensure optimal management of resources by developing and implementing plans which coordinate operational activities including staff, space, facilities, supplies, minor and capital equipment, and general expenses.
Participate, partner on and/or lead oncology outpatient clinical performance improvement initiatives. Identify, develop and facilitate improvements while partnering with leadership across the Duke Health system (e.g. access, scheduling, nursing, radiology, operations, pharmacy, supportive care services, PVR, etc)
In partnership with DCI Director of Patient Access, lead efforts to achieve new patient access targets within program.
Monitor and advise on template utilization, template changes, clinic utilization, and room allocations. Collaborate with operations to optimize clinic flow and throughput. Work with providers and Department leadership to ensure templates support access goals.
Participate, partner and/or lead assessment and resolution for all safety related events impacting assigned programs and providers. Review, provide input, and sign-off on program SRS's, as needed. Work with local leadership to evaluate trends and assist with QI/PI strategies to mitigate patient safety scenarios.
Participate, partner and/or lead improvement efforts in conjunction with key clinical operations leadership on all DUHS and DCI key performance indicators (KPIs) including balanced scorecards, labor management reports, CGCAHPS, and Press Ganey reports. Share patient comments with program and discuss negative patient comments with providers as needed. Resolve negative patient experiences to come to an amicable solution.
Routinely attend and actively participate in key operational meetings, including daily safety huddles, floor management team forums, and monthly clinical operations forums
Human Resources Management
Participate, partner and/or lead interviews for key roles within designated program(s), including but not limited to physicians, advanced practicing providers, nursing, research, PRMO and access support services.
Lead coordination of provider onboarding schedules, collaborating with key stakeholders across program and DUHS to ensure the orientation planning is comprehensive and sets new team members up for success
Participate, partner and/or lead the management in upholding and supporting the collaboration, teamwork and respect in the clinical setting. This includes partnering with program leadership, nursing leadership, scheduling leadership and other key stakeholders to jointly address root causes and uphold the DUHS core values. Aim is to maintain a high staff morale and retain staff.
As applicable, may be responsible for serving in a director managerial or supervisor role for miscellaneous job functions within associated DCI programs, including overseeing recruitment, performance management, etc
Research / Academic Operations
Support physician research initiatives to advance program growth, partnering with Associate Research Practice Manager (ARPM) and research team to monitor accrual rates and clinical trial offerings
Advocate for needs of disease specific research teams in facilitating relationship development and process improvement initiatives in conjunction with clinical operations (ie. space, work flow, resources) and access leadership
Evaluate opportunities to support novel therapies, including marketing and referral network engagement
Optimize research operations on clinical trial screening and work flow to optimize trial accruals in conjunction with clinical research team
Collaborate around business planning for necessary growth of research team to support anticipated growth in clinical trials
Partner with ARPM for resource utilization of the clinical research team
Partner with Department leadership to develop SBARs and proformas in support of incremental and replacement provider needs to optimize physician practices and ensure alignment with strategic growth.
Monitor program volumes, RVUs, and direct contribution margin. Advise operational and capital budgets by analyzing operating needs.
Responsible for tracking and trending clinical volumes, periodic reporting out to program leadership and providers. Responsible for managing programmatic variance in conjunction with leadership from DCI, program, access, marketing, research and DHAS leadership.
Participate, partner and/or lead fundraising and special event preparation efforts. Collaborating with DUHS and DCI development teams, marketing and communications leadership to maximize financial and promotional impact for DCI and involved programs
Miscellaneous Position Details
Incumbent will serve as a role model and resource for professional colleagues and represents program in meetings, conferences, or leadership committees.
May need to travel within local area to support regional sites within the DCI
Perform other related duties incidental to the work described herein as may be assigned or delegated.
Required Qualifications at this Level
Education: Bachelor's degree. Master's degree in healthcare and business strongly preferred. Experience: Work requires a minimum of 5 years' experience in health care including at least 3 years at the administrative leadership level. Preference: Cancer Center/Oncology/Hematology experience.
