Reports directly to and supports the Executive Director while also assisting a small but growing team with various administrative and management tasks
Supports the Executive Director’s and Board of Directors’ activities; manage calendars, meeting materials and documents, and other executive-level documents and files
Supports the Executive Director with donor and stakeholder outreach
Performs a variety of administrative tasks including facilities maintenance requests, online and in-person meetings, rooms, and equipment reservations, managing the Executive Director’s schedule, travel arrangements, and associated expense reporting
Manages office functions such as accounts receivable, accounts payable, purchasing, vendor contracts and orders, IT functions, and asset and physical inventory
Releases revenue and revenue reports from various online portals
Enters, processes, merge, analyzes, and creates donor data reports
Translate complex donor and community data into simple graphs and text
Runs month-end accounting reports, coordinates with the accountants to ensure timely monthly financials are produced and distributed
Performs payroll administration and minor human resources responsibilities as directed by the Executive Director
Communicates effectively with staff, volunteers, Board Members, other donors/supporters, and other business connections
Documents and maintains financial and office processes and procedures
Identifies areas of business process improvement and proposes opportunities to increase efficiency, maximize cost savings, and grow organization revenue.

Valid Texas Driver’s License or Texas ID
Bachelor's degree (Preferred) or equivalent experience
3–5 years proven experience in office management and executive support
Strong critical thinking skills
Outgoing and energetic with a teamwork focus
Detail-oriented and professional in all correspondence and communication
Highly proficient in business software: QuickBooks or QuickBooks Online, Microsoft Office 365 Apps: Excel, Word, Outlook, PowerPoint, OneDrive, and SharePoint. MS Project a plus
Proficient use of online meeting apps and portals, g., Zoom, Microsoft Teams
Effective use of donor-based software; Little Green Light or Blackbaud a plus
Spanish speaking a plus
Experience in the mental health or social services industries a plus
