VICTR is Vanderbilt's virtual home for clinical and translational research. VICTR's Workforce Support team provides leadership and support for the coordination, execution, and growth of the department's HR/Admin program, which supports 230+ staff and faculty. This includes the recruiting & onboarding process, position management process, employee reclassification process, departmental equity management, personnel and payroll functions, performance review process, policy knowledge and advisement, conflict resolution, problem solving and crisis management, employee engagement including planning & executing special events and a quarterly online newsletter, space management, organizational management, and handling international-employee issues, as well as providing administrative support to high-level staff and faculty and research teams as needed and as requested.
Appointed through the Office of Research and The Vanderbilt Institute of Clinical and Translation Research (VICTR), the Sr. Imaging Research Specialist is responsible for ensuring the scientific core research imaging activities are carried out throughout the Medical Center in conjunction with the core manager. This position plans, organizes, and coordinates the scientific core research imaging work flow; interacts closely with research faculty and staff throughout the Medical Center to provide training and consultation in imaging methodology as specified in research protocols.
The Clinical Research Radiology Support Core (RADC) operates as a collaboration between VICTR and the Department of Radiology, with VICTR Clinical Research Fiscal Support Services overseeing core administration and Radiology providing modality expertise, imaging, interpretation and output distribution services. Core services encompass protocol inception through image interpretation, output distribution, payment for services and financial and effort tracking. The RADC serves as the point of entry for modality expert review and planning and for the implementation of the radiological processes for all human subjects' clinical research with an imaging component.
RADC SR. IMAGING RESEARCH SPECIALIST KEY RESPONSIBILITIES
Receive imaging requests and communicate core price quotes to investigators
Download documents into SharePoint
Manages new study and amendment requests for studies with an imaging component, including metrics tracking to assure timely response
Review imaging protocol with a thorough understanding of its nuances, and oversee its implementation
Develop feasibility surveys for potential sponsors
Participate in sight initiation visits for sponsors
Assists with scheduling imaging with specific modality technologists and equipment when required
Create instruction sheet and make assignments to modalities
Performs initial review of new trials to determine if Core modality review and study setup is warranted
Evaluates, troubleshoots corrective actions and responds to image acquisition queries from sponsor or study team
Provides RADC services that do not require modality expertise
Assesses information provided for completeness prior to engaging modality review and organized information for modality efficiency
Assigns and monitors timeliness of modality tasks with ongoing communication regarding their review of study protocol and imaging guidelines for feasibility and imaging requirements (e.g., type of hardware/software required; location of imaging; need for specific scanners; timing of scans in relation to protocol required processes; specific radiologists; additional machine/technologist time required, planning and troubleshooting)
Incorporating input from CTBC, the modalities and radiology IT, compiles and uploads individualized study instructions sheets, when required, in eSMART for referral by radiology technologist and IT and confirms availability in eStar, assuring all protocol required tasks and procedure naming conventions are accurately represented
Collaborates with radiology modality leads and department physicians as needed to determine feasibility and equipment requirements for all new clinical trials
Coordinates resolution of protocol implementation issues with radiologists, physicists, study team and sponsors
Provides education, training and resource materials for researchers, staff departments and modality technologists on core required processes
Manages service requests from CTBC related to imaging billing compliance, communicating with modalities and the research team as required
Ensure RADC services are invoiced accurately utilizing the Core invoicing system by communicating with finance regarding what should be on the billing grid
Tracks effort and activities required for accuracy in Core pricing
Organizes and electronically archives all RADC documentation including protocol documents, modality notes, information sheets, effort reporting and financials
Continuously explores opportunities to improve RADC quality, efficiency and communication
Develop, maintain and monitor compliance of RADC policies and procedures, with knowledge and congruency of applicable regulations, guidelines and VUMC and research department policy and procedu
Develop and maintain RADC resources for Core users, sponsors, modalities, including website content and maintenance and collaboration with CRFSS educators regarding user education and communication
Maintain and generate records, statistics and reports to support compliance with regulatory agencies.
Participate in audits when requested
Consult with RADC team members, RADC users, RADC dependent departments to determine their satisfaction with the processes and services provided
CORE KEY RESPONSIBILITIES:
Consultation on scientific merit and imaging correlatives
Loading specialized (i.e., non-standard of care) imaging protocols onto scanners
Completion of sponsor required technologist training
Phantom or volunteer scanning for clinical trial qualification
Completion of sponsor required documents for clinical trial qualification
Participation in Site Initiation Visits if required by sponsor
Resolution of sponsor queries related to image acquisition
Image de-identification and archival to CD/DVD for transmission to sponsor
Completion of imaging data transmittal forms
Transmittal of image data via ftp to study coordinators or study sponsors or as requested by sponsors
Provide services, support, and training to research faculty, staff, graduate student, and postdoctoral fellows.
Provide training to researchers (faculty and staff) on instrument operation.
Provide assistance on experimental design as appropriate.
Provide assistance with data and interpretation of data.
In collaboration with the RADC administrative team, assist researchers in day to day problem solving in research efforts.
Set goals and plans to achieve results.
Ensure the work of the scientific core research facility is compliant with regulatory agencies and Vanderbilt policies and procedures.
Maintains and generates report, records, and statistics and ensures compliance with regulatory agencies.
Maintain all required quality control documents and have documents available for audit at all times.
Provide standard of practice that ensures transparency to the sponsor and research participants.
Assist with scheduling processes and linking encounters to research
Support research staff in ensuring research-related imaging is appropriately linked in eStar to in support of patient safety and billing compliance.
Bachelor's Degree (or equivalent years of experience)
6 years of Research experience
Radiology research experience or radiology technologist experience preferred
